Staff policy

1. General Requirements

  • All staff must comply with the NeighCon Code of Conduct .

  • Violating these policies may result in disciplinary action, including confiscation of your staff badge or a permanent ban from future events hosted by Harmonic Ventures, Inc.

  • All staff are at-will volunteers:

    • No monetary compensation will be provided, except for pre-approved reimbursement of reasonable expenses.
    • Harmonic Ventures, Inc. may release volunteers at any time for any reason.
    • Volunteers may resign at any time for any reason.
    • If you resign or are released before completing the minimum service time, your staff badge may be revoked.

2. Confidentiality

  • You may have access to confidential information, including:
    • Marketing-related information kept temporarily private.
    • Personally identifiable information (PII) about staff or attendees (e.g., names, addresses).
  • This information must not be disclosed.
  • Violating confidentiality may result in legal liability, including potential legal fees and damages, in addition to disciplinary action.

3. Intellectual Property

  • Staff who create artwork or designs for Harmonic Ventures, Inc. or NeighCon grant a non-exclusive, perpetual, irrevocable license for any use, including merchandise sales for current or future events.
  • Staff who record audio, photos, or video during their shifts grant Harmonic Ventures, Inc., a non-exclusive perpetual license to all audio, images, or video captured during their shift. Upon request, such media must be shared with the convention immediately

4. Accessibility & Wellbeing

  • Inform us during your application if you have any physical, medical, or mobility limitations that require accommodation.
  • We will make reasonable efforts to accommodate you, but staff are expected to manage their own health and wellbeing while volunteering.

5. Professionalism & Conduct

  • Staff represent the convention at all times and should:
    • Maintain a professional, courteous, and helpful attitude—even under stress.
    • Be familiar with the convention’s website to answer common questions, and seek help from other staff when needed.
    • Arrive a few minutes early for assigned shifts/duties when possible.
    • Follow department-specific dress codes, and remember you represent NeighCon when wearing staff clothing or your badge.
    • Assist attendees politely even when off-duty by directing them to an on-duty staff member.
    • Stay sober while on duty—no alcohol or controlled substances that impair performance.

6. Equipment Use

  • Treat all convention equipment as your own.
  • Sign equipment (e.g., radios, laptops) in and out.
  • You may be held responsible for lost or damaged items.
  • Use radios professionally: avoid inappropriate language, spam, or unprofessional chatter.

7. Off-Duty Conduct

  • While off-duty, you have the same privileges as other attendees.
  • No priority access is granted unless you have purchased a badge that provides such privileges.
  • All staff must comply with badge checks at all times, except during emergencies—do not assume staff will recognize you.

8. Personal Responsibility

  • You are responsible for arranging your own food, transportation, and lodging.
  • You agree to indemnify and hold harmless Harmonic Ventures, Inc. against any claims, costs, or damages arising from your actions, whether intentional or not.
  • If any provision of the staff policy is found unenforceable, the remainder of this document remains in effect.

9. Health & Safety

  • Take care of yourself: eat regular meals, get enough rest, and maintain personal hygiene so you can perform effectively during your shifts.
  • In case of injury while volunteering, you authorize Harmonic Ventures, Inc. to seek medical treatment on your behalf.
